This website, somersetwesttaxitours.online, is operated by Somerset West Taxi Tours & Car Rental (“we”, “us”, “our”), contactable at 29 Copacabana Blvd, Heritage Park, Cape Town, 7130, South Africa. For the purposes of the Protection of Personal Information Act 4 of 2013 (“POPIA”), we are the Responsible Party for personal information collected through this website and our booking process.

2. What Personal Information We Collect
- Name, phone number, email address and physical/pickup address, provided when you make a booking or enquiry;
- Driver’s licence or International Driving Permit (IDP) details, and a copy of your ID or passport, where required for vehicle rental;
- Booking details: dates, vehicle or tour selected, pickup/drop-off locations;
- Payment-related information processed on our behalf by our payment partner, iKhokha (see Section 5) — we do not collect or store your full card details ourselves;
- Communications you send us via WhatsApp, email, or our website’s contact/tracking forms;
- Limited technical information (such as browser type and pages visited) collected automatically via cookies — see Section 7.
3. Why We Collect It
We collect and use your personal information to: process and confirm bookings; verify your eligibility to rent a vehicle; dispatch drivers and vehicles; issue invoices and process payments and refunds; communicate with you about your booking (including via WhatsApp); comply with our legal, tax, and insurance obligations; and, where you have separately agreed, to send you offers or updates.
4. Our Legal Basis for Processing
We process your personal information because it is necessary to perform the rental or transport contract with you, to comply with a legal obligation (such as verifying a driver’s licence, or tax record-keeping), or because you have given consent (for example, to marketing communications, which you may withdraw at any time).
5. Who We Share Your Information With
We share personal information only where necessary, with:
- iKhokha (registered South African payment service provider) — to process your payment securely. iKhokha, not this website, receives and stores your card details;
- Brevo, our email service provider — to deliver booking confirmations and account emails;
- WhatsApp/Meta — where you choose to communicate with us or receive dispatch notifications via WhatsApp;
- Our website hosting provider, for the technical operation of this site;
- Where required by law, regulators, or to protect our legal rights.
We do not sell your personal information to third parties.
6. How Long We Keep Your Information
We retain booking, payment and identity-verification records for as long as required for tax, accounting, and insurance purposes (currently five years from the end of the relevant financial year, in line with South African tax record-keeping requirements), and delete or de-identify personal information once it is no longer needed for the purpose it was collected for.
7. Cookies
This website uses cookies — small text files stored on your device — to keep your booking/cart session working correctly, to remember your login on the customer/manager dashboard, and, where enabled, to understand how visitors use the site so we can improve it. You can disable cookies in your browser settings, though some parts of the site (such as checkout) may not function correctly without them.
8. Security
We take reasonable technical and organisational measures to keep your personal information secure, including restricting access to booking and customer records to authorised staff, keeping our website software up to date, and relying on iKhokha’s own PCI-DSS-certified security for payment processing. No online system can be guaranteed 100% secure, and we commit to notifying the Information Regulator and affected individuals without undue delay in the event of a data breach involving personal information, as required by POPIA.
9. Your Rights Under POPIA
You have the right to: request access to the personal information we hold about you; request that we correct or update inaccurate information; request that we delete personal information we no longer have a lawful basis to hold; object to our processing of your information in certain circumstances; and withdraw consent to marketing communications at any time. To exercise any of these rights, contact us using the details in Section 1.

10. Children’s Information
Our services are intended for adults capable of entering into a rental or transport contract. We do not knowingly collect personal information from children without the consent of a parent or guardian.
